5. Inviting your Team Members

Learn how to add team members and manage permissions in TailorQuote

TailorQuote is built for teams. Invite colleagues to help manage calculators, respond to quotes, and grow your business together.

Accessing Team Members

Navigate to Members in the settings section of your sidebar. This page shows:

Current Members

  • Member name and email
  • Assigned role
  • Join date
  • Primary owner indicator

Pending Invitations

  • Invitee email address
  • Assigned role
  • Invitation sent date
  • Actions (Resend/Cancel)

Inviting New Members

Step 1: Open Invite Dialog

Click the Invite Members button at the top right of the Members page.

Step 2: Add Member Details

  1. Enter email address - The invitee's email
  2. Select role - Choose appropriate permission level
  3. Add another - Invite multiple members at once (optional)

Step 3: Send Invitations

Click Send Invitations to dispatch invite emails.

The process:

  1. Email sent to invitee with secure link
  2. Link expires after 7 days
  3. Invitee accepts and joins your team
  4. They appear in your members list

Understanding Roles

TailorQuote uses a hierarchical role system where higher roles include all lower role permissions:

Owner (Highest)

The team creator with full control:

  • All permissions
  • Cannot be removed or changed
  • Only one per team
  • Can transfer ownership

Admin

Senior team members with broad access:

  • Manage team members
  • Change member roles
  • Access billing (if enabled)
  • Manage all calculators and quotes
  • Configure team settings

Member

Standard team members for daily operations:

  • Create and edit calculators
  • View and manage quotes
  • Manage products
  • Cannot change team settings

Viewer (Lowest)

Read-only access for stakeholders:

  • View calculators
  • View quotes
  • View dashboard
  • Cannot make changes

Managing Team Members

Changing Roles

To update a member's permissions:

  1. Find the member in the list
  2. Click their current role
  3. Select the new role
  4. Changes apply immediately

Important: You can only change roles for members below your level.

Removing Members

To remove someone from your team:

  1. Click the actions menu (···) next to their name
  2. Select Remove from team
  3. Confirm the removal

When removed:

  • Access revoked immediately
  • Their content remains with the team
  • Can be re-invited later

Invitation Management

Resending Invitations

If an invitation expires or gets lost:

  1. Find the pending invitation
  2. Click Resend
  3. New email sent with fresh link

Canceling Invitations

To revoke a pending invitation:

  1. Find the invitation
  2. Click Cancel
  3. Link becomes invalid

Role Permissions Detail

What Each Role Can Do

Owner & Admin Can:

  • Access all team features
  • Manage team members
  • Configure settings
  • View billing

Member Can:

  • Create/edit calculators
  • Manage quotes
  • Add/edit products
  • View dashboard

Viewer Can:

  • View all content
  • Access dashboard
  • No editing rights

Permission Hierarchy

  • Owners can manage all members
  • Admins can manage Members and Viewers
  • Members cannot manage other members
  • Viewers cannot manage anyone

Best Practices

Role Assignment

  • Start with lower roles
  • Upgrade as needed
  • Limit Admin access
  • Use Viewer for stakeholders

Security

  • Remove inactive members
  • Review permissions regularly
  • Use strong passwords
  • Enable MFA if available

Onboarding New Members

  1. Send invitation with clear instructions
  2. Provide initial training
  3. Start with Viewer role
  4. Upgrade after familiarity

Common Scenarios

Adding a Sales Team Member

  • Assign Member role
  • They can manage quotes
  • Create calculators for their needs
  • Track their performance

Adding an External Stakeholder

  • Assign Viewer role
  • They can monitor progress
  • See quotes and metrics
  • No risk of changes

Temporary Access

  • Invite with appropriate role
  • Remove when project ends
  • Maintains security
  • Clean member list

Troubleshooting

Invitation Not Received

  1. Check spam folder
  2. Verify email address
  3. Resend invitation
  4. Contact support if issues persist

Cannot Change Role

  • Verify your own role level
  • Cannot change owner role
  • Must have higher role than target

Cannot Remove Member

  • Check if they're the owner
  • Verify your permissions
  • Owner cannot be removed
